A kick-off meeting is a crucial start to any project, no matter what the scope, timescales or budget involved. This ten step guide outlines what you can do as Project Manager to ensure your kick-off meeting is as worthwhile and effective as possible. rn1. Be preparedrnCirculate a project summary to all of your team well in advance of your meeting, concisely outlining the brief and the key milestones. This will give all team members the opportunity to digest the basic project overview beforehand. 2. Plan your approachrnThink carefully about the best way to brief your team. Decide whether to use a structured, visual presentation or give a relaxed verbal summary to best convey the information; make sure you give it sufficient thought and plan well in advance. 3. Timebox the meetingrnEnsure that the meeting is concise, and you have a clear agenda to work from. Don’t deviate from the agenda – this meeting needs to hold people’s attention and set the tone for the project as a whole. By timeboxing the meeting, you can make sure it is focused and productive. 4. Be clear and concisernDefine the project as clearly as you can, including a summary of the end user, business objectives, and any other key considerations. If team members understand the why as well as the how, they will be able to provide creative and constructive input throughout. 5.
