Business White Envelopes Are Smart for Efficiency and Cost Effective
One good area to look into trimming any potential waste is office stationery. Using white envelopes can help in a large way. They come in all sizes and your business name or logo is clearly readable regardless of your company’s colour theme. Often manila and colored envelopes can distort the outside printing for some individuals. White does not create this problem. Unless your stationery requires an odd sized envelope there is no need for special ordering to accommodate colour or sizing specifications. Another consideration when ordering envelopes that add to the cost is whether to have your mailing return address pre-printed on the outside. While it looks good, what happens when the company expands or moves? The printed address on the envelopes becomes unusable unless you order labels to stick over the old address. Sticky labels may be a good solution to begin with. Order your white envelopes plain, without any printing. It is cost effective to use self sticking labels. In the event of an address change it is much easier to acquire new labels rather than to throw out totally functional envelopes when the only alteration required is to the address. One additional advantage of using labels on envelopes is to use them for the client’s address instead of having an open window box where a person’s mailing address shows through on billing statements. In today’s society where identity theft is a very real concern; an open area on envelopes can provide a thief with a way to get personal information. Using a label with the client’s address stuck to the front provides an added measure of security. Today’s computer technology makes it even easier to print your own labels rather than needing to order them. A computer file with your clients’ names and addresses can be added, deleted or edited in a matter of seconds. When making return labels on a colour printer you can be as creative as the occasion requires. When sending out envelopes near a holiday time you can an appropriate symbol on your labels like a snowman, American flag or a pumpkin. You might even think about putting the symbol on the client’s address label. The choices are as endless as your creativity. When placed on a white envelope your label will stand out with clarity and be easily readable. With computer capability the only item you will need to keep in the supply cabinet is blank envelopes and blank computer label paper. A computer program can also be designed to print both the return and addressee’s information directly on to the actual envelope without the need of labels. When imprinting the data on to a plain envelope your options have increased to an infinite level. A colour printer allows you to print both addresses in basic black and white or to add colour for a business logo and even add a colored advertisement message along the left side of the envelope. Consideration needs to be given to what style of white envelopes you want to use for your correspondence. The plain unlined envelopes are fine for general mailings when there is no personal information inside that can be read from the outside when held up to a light. When sending out clientele account information that may contain financial, medical, legal or personal data, such as a social security number, you might want to use the security envelopes that are lined inside to prevent anyone from garnering the material and will lend themselves to added privacy for your clients. White envelopes have been and continue to be the fundamental colour of choice for all levels of communications from hand written letters to legal documents.
