Without us realizing, we waste a lot of time at work with the little things, and this holds true for both managers and their assistants. In the outsourcing business or in a BPO (Business Process Outsourcing) company, we specialize in cold calls, but even acquiring leads in the wrong manner can be a big waste of time. What are some quick fixes to some of these biggest time wasters? Read on!
1. Calls. The business is calling, but you’re wasting a lot of time if you are not tapping quality leads. Save yourself the effort and sift through your list before you call everybody on the block. Believe us, it is a major waste of time.
2. E-mails. You do not realize how much time you spend e-mailing (electronic email) and documenting your every move that it is already eaten up into your morning schedule. If there is something brief you have to say, and the person is within your vicinity, then get up and talk to them face-to-face. It will take a few seconds and it will encourage exercise.
3. Meetings that drag on. If you are going to call a meeting makes it worth everybody’s time and make sure it is dynamic. An exchange of ideas is what you want here and if you are just calling to give boring updates and call meetings to make plans for another meeting, then there is really no more point. Turn your meetings into productive ones by keeping in sync with the goal and yet making it as casual as possible.
4. Interruptions. You and your co-workers might have great camaraderie, but these little interruptions are a big waste of time. If you are on down time, take the liberty to stretch a leg and call a friend to join you. But when you are absolutely swamped with work, learn how to make these wait without compromising your relationships.
5. Multi-tasking. You can have ten windows open dedicated to several tasks, but multi-tasking has proven itself ineffective. If you want to get the job done, close a few windows and focus on the task at hand.
