There is vital information that must be collected and provided to wedding musicians for any wedding ceremony. Much of this must be in writing in the contract and many details (order of ceremony, participants, and music selections) can be shared with wedding musicians on a more informal basis. The contract with the wedding ceremony musicians or the wedding music coordinator must contain vital information, including the type of music ensemble, date, location, time, cost, payment, cancellation policy, and contact information. General information to include in the wedding music contract Employee: Name of the wedding musical coordinator, leader of the musical ensemble or musician. Employee Outfit: Name of the wedding outfit, type of outfit or instruments provided. Number of employees: Number of musicians together. Date of the event: it is important to make sure that the year is in the contract and in every email. This is a common mistake. Some brides plan years in advance and a few weeks in advance. The year is an important detail that, if excluded, can lead to disastrous results. Event Time: Include both the time of the wedding ceremony and the hiring time of the wedding musicians. Allow time for the wedding to start late in the time period for which the musicians are hired. Name and location of the wedding ceremony: write the full name of the place and the full address. Confirm the address is accurate and look at the mapping systems (such as Google Maps) for instructions errors or there could be dozens of lost and overdue vendors and guests. Contact information: names, phone numbers, addresses and email addresses of employees (musicians) and employers (boyfriends). Make sure that the cell phone numbers of the bride and groom (or other contact person) and the employee are listed. Often only office or home numbers are listed, and having cell phone numbers for last minute changes, questions or emergencies is vital during the days leading up to the ceremony, https://medium.com/@broadwaypass/dear-evan-hansen-on-broadway-a-review-2e1cbe4c2a0f Cost: Price of the musicians of the wedding or musical ensemble and what it includes. Usually music is provided for prelude, procession, ceremonial music (interludes, candlelight ceremonies, etc.) recession and postlude. Deposit: The amount of the deposit and when it is due. Remember that the wedding musicians are not confirmed until the deposit is received and are still available for someone else to hire. If you are using a wedding music coordinator or agent, it is also a good idea to get your deposit as soon as possible. Although they can often guarantee any type of ensemble you want, the best musicians on their staff are hired in advance. Balance Payment: The amount of the balance due after the deposit and when it is due. Most wedding musicians and wedding music coordinators request that the balance payment be made immediately after the ceremony. Payment method: The type of payments accepted and to whom checks should be paid. Meals: The number of meals provided to the musicians. Remember, a powered band is a happy band and a happy band is happy and fun on stage. If the musicians only appear for the ceremony, it is not customary to provide meals. Overtime: availability, cost and due date of overtime pay. In general, overtime would only apply to the wedding reception, except in the case of an extremely late wedding. Special Requests or Unusual Details: Special requests for songs, costume requests, unusual requests (eg ensemble must go to church) may be included in the contract. Cancellation policy: Read this carefully to know the rules about dates and rates. Weather restrictions: For outdoor weddings, can wedding musicians have restrictions on temperature, wind, rain or lightning? Miscellaneous Fees - Please read the contract carefully for additional fees. Fees may be added for sound system, special music requests, and transportation of large instruments. Any reputable wedding ensemble or wedding music coordinator will disclose and discuss any additional charges when giving initial quotes or when making special requests.
