With internet being used as a means to communicate, the first question that rises in the minds of potential customers is whether the channel is secure or not. The internet world needs security whether it is functioning in a private mode or in a public mode. As business is growing and the cost-efficient means to communicate are coming into the limelight of telecommunication, the use of Hosted PBX services is also growing in dimensions. These usage stats are crossing the threshold due to the fact that most of the small and medium scale business firms have been using these communication systems.
The various threats and attacks that the internet channel is prone to are some of the most common problems that raise doubts in the minds of the potential customers. The sharing of documents over the internet channel with the help of fax to email feature is also considered to be vulnerable to a number of threats. While considering fax in an online mode, we need to understand that integrity of the transmitted data needs to be preserved. The use of Hosted PBX VOIP for transmission however ensures that encryption; tunneling and compression algorithms have been implemented for safe transmission of data and voice packets.
The benefits of using internet fax feature for document sharing over internet include:
- No initial setup: In the case of traditional fax machines, business organizations need to set up a fax machine through a PSTN line that is separate from their basic telephone line. However, in case of Hosted PBX systems, the entire configuration can be managed through a web based interface that requires no equipment to be set up at your office location.
- No power consumption: The use of internet fax eliminates the need of extra consumption of power. While in the case of traditional fax, the machine needs to be kept on for most of the time and thus, there is immense power consumption. When using the email to fax feature over the internet medium, the fax is received in soft form on your email and hence, you can receive it even when you are not logged in.
- Personalize your choices: With this feature of fax in a hosted communication medium, there are some of the choices that you can make. For this feature, you can use any desirable email interface to communicate and configure your contacts with the same. After that, all you need to do is to simply add contacts and attach your document as a PDF or TIFF image and just send the mail.
- Multiple faxes in one go: When considering the customary fax machine, you can just send one document as a fax at one time. However, with internet fax feature, you can simply compose the mail with multiple recipients and you can send the mail to multiple destinations at one time.
- VOIP reduces the expenses: The use of PSTN line with the premise-based fax machine involves quite high costs and this is why it was a system that was mainly used by the large business firms. However, since the introduction of VOIP based internet fax services, sending one fax document over any distance costs just equivalent to making a call to any destination. Since VOIP calling is quite inexpensive, faxes can be sent and received at the pre-defined rates for outgoing and incoming business phone calls.
These are some of the benefits that make the use of internet fax more valuable amongst customers. The integration of Hosted PBX with this feature though raises the question of security but care is taken to provide complete security to business firms which thereby make it easy to manage communication in a hassle-free manner.
