There are many stories online recently about people and companies who have had problems with personal information getting into the wrong hands. All too often it has been because records had not been properly destroyed and were still readable to anyone who found them. This ends up being a great embarrassment to the company for being irresponsible with their customers' information, or their own. Here are some important reasons why you do not want to be the next company or business that people read about in the papers or online.
When one of your customers uses a credit card to make purchases from you, you are legally responsible to establish reasonable protection for that sensitive information. This means that not only can you be held liable, but the government also requires that you destroy that data when your company disposes it. Failure to do so, when that data is discovered to have been leaked due to carelessness and failure to destroy it, is going to mean unnecessary costs and embarrassment to your business.
There are people who go around looking into whatever dumpsters they come across just seeing what they can find. To them, a piece of paper could be valuable if they find certain types of information on a document, such as credit card numbers or medical information. If they find many such documents, they think they have a gold mine and may misuse that information. Eventually, the source of the data will come out. It could have been avoided if proper methods of data destruction were employed, or even if a company were brought in for that purpose. Some types of data storage could even make it easier for someone to find and misuse large amounts of information, such as hard drives, CD's, videos, microfiche, or other data storage devices.
In recent years, companies now provide services for the thorough destruction of any type of documents that you have in your possession. This includes paper shredding, destruction of hard drives and data disks, and other types of data storage devices. When document shredding services are ordered, a truck is brought to the business site that thoroughly destroys the data. This can be done right on the company's premises, or at your home, so that the destruction can be verified immediately. If you need to have a data purge and have a large volume of material to be destroyed, a truck can be brought to your site when needed, and regular services can also be ordered afterward. Recycling services are also available.
Some companies provide data destruction services offsite, and they will come and pick up the documents and then destroy them later at their company's property. This could be bad because you cannot ensure that it is destroyed, or that it is destroyed before an employee goes through it. It is also possible that the vehicle could get in an accident and you end up with documents scattered everywhere.
