The Options that are Available for Document Shredding

Secure, thorough document shredding and computer file shredding is necessary for any business or organization handling sensitive information. Sensitive information isn't just limited to trade or business secrets. Financial account information, employee and customer information and other important papers are all potential targets for thieves. Identify thieves, for example, will sift through paper in rubbish bins and landfills and hack into computer systems to find personal information. When a competitor gets company secrets, the damage is often extensive. In cases where customer information was exposed because of poor or nonexistent shredding practices, the businesses at fault lost customer confidence and ended up with a damaged reputation. Document shredding may be done in-house. The business buys paper shredders and installs the machines in locations where sensitive documents are handled. Paper shredders come in different models with various features. A multi-shredder unit shreds papers in batches, while a baler system is sealed and shreds larger items. In-house paper shredding does ensure the documents never leave the company but represents an added expense and may cut into employee productivity. Some shredders have safety features to prevent fingers from touching the blades. Offsite document shredding is another option for a business. A professional shredding service will come to the business and take the documents away to be destroyed or do the work onsite. If the business decides to go with a recurring shredding service, locked boxes are placed throughout the company location. The employees place sensitive documents into the boxes, and the service comes to take the papers in accordance with the service agreement. Pickups may be weekly or monthly, depending on the company's needs. A purge service comes in once or twice a year, as decided by the business, and takes all the documents away to be shredded at once. A computer file shredder destroys the traces deleted files leave behind. Once a file is deleted, the user no longer sees it, but pieces of it still remain on the hard drive. A person with technical knowledge can retrieve all or part of a deleted file, so computer file shredding is necessary for sensitive documents that are stored on a computer. File shredding programs write over the data contained in the file one to three times, with three times being the most secure. Some file shredding programs have extra security features, such as free space wiping, that wipe the area the deleted files were stored on. The type of file shredding a business needs depends on the amount of sensitive files that need to be destroyed. Overwriting multiple times takes a considerable amount of time for longer files, so a smaller business may not need software to write over sensitive data more than once.
